A RIGHT ASSET NUMBERING

If asset tags must be provided with a unique number, it is necessary to define the numbering in advance and to consider the structure of the numbering. This tackles the simplest problems before they arise.

To prevent errors and to be future-proof, "rules" must be established on which the numbering will be based.

When does it go wrong? Example: if a numbering consists of 3 digits and then all systems are based on that, a problem arises as soon as the number of asset tags exceeds 1000. Thinking ahead about the structure of the numbering therefore goes further than starting with number 1.

Below are a number of crucial points that must be taken into account when determining asset numbering.

BUILD-UP NUMBERING IN PARTS

Assettag numbering can be built up from different parts. An asset tag is often made up of 3 parts, namely the counter (ascending number), a prefix (prefix) and a suffix (after joint). In addition, an extra variable number is added to the prefix in a number of cases.

Below we will discuss the possibilities for each part.

COUNTER

The counter provides a unique number per tag with an ascending number. It is of course possible to produce a multiple of each unique number for, for example, a laptop and the laptop bag that receive the same numbering. The choice of building the counter is relatively simple.

How many numbers does the counter consist of?
The number of digits on the counter determines how many unique values ​​the series can contain in total. For example, a 3-digit counter can never contain more than 1,000 unique values, but on the other hand a 10-digit counter can quickly become a bit large and more susceptible to errors when reading manually.

Start with "0" or "1"

In a database the figure "0" is a value, so we recommend starting with a "0" but this is not an obligation, so it is often chosen to start with the figure "1".

DIVIDE PREFIX AND SUFFIX RANGES IN DIFFERENT GROUPS.

A prefix and suffix are often used to divide numbers into different groups. The prefix is ​​used as the first choice for division based on; the device type, year of purchase or location. With the pre- and suffix you also make divisions visually recognizable. It is important to determine the structure well in advance and to prevent any difference in length as much as possible. In some cases, the prefix is ​​only legibly valuable and does not appear in the database at all. The prefix is ​​then not included in the barcode so that it remains easier to scan.

YEAR OF PURCHASE AND DEVICE DIVISION

If it is desirable to include the year of purchase in the numbering so that a new numbering can be started every year, this is often combined with a device division.
Example: LT18000001 (LT = laptop) (18 = purchase year 2018) (000001 = counter)

DEVICE & LOCATIE OPDELING
Wanneer er bijvoorbeeld assettags besteld worden voor vestigingen in meerdere landen merken we dat de landcode vaak verwerkt wordt in de UID (Uniek ID) van de tag. Hierdoor zijn de tags gemakkelijk te verwerken in een database en onder te brengen in de bijv. categorie “landcode”.

SELF-DESTROYING ASSETTAG

Destructible asset tags, also known as self-destructing, are labels with anti-fraud properties.
